Job Summary:

The receptionist at JTR Insurance Agency, LLC serves as the first point of contact for clients and visitors, providing exceptional customer service and administrative support to ensure smooth office operations. This role involves gathering information for insurance quotes and requires strong organizational skills, familiarity with Microsoft Office and website management, and obtaining an insurance license within the first year of employment. This is an in-office only position.

Key Responsibilities:

  1. Client Interaction:
    • Answer incoming phone calls, gather necessary information from clients to prepare insurance quotes, and direct calls to the appropriate person or department.
    • Greet clients and visitors warmly, determine their needs, and provide assistance as needed.
  2. Administrative Support:
    • Provide clerical assistance to insurance agents and account managers, including typing letters, reports, and correspondence.
    • Schedule meetings, manage appointments, and maintain office equipment.
  3. Information Gathering:
    • Collect detailed information from clients over the phone to facilitate accurate insurance quoting.
    • Ensure all client information is accurately recorded and organized for easy access.
  4. Technical Tasks:
    • Update the agency's social media pages and website with current content and agency updates.
    • Utilize Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) for various administrative tasks.
  5. Organizational Duties:
    • Maintain an organized and efficient office environment, including the waiting area, conference room, and break room.
    • Order and manage office supplies, ensuring all necessary items are stocked.

Qualifications:

  • Excellent organizational, interpersonal, written, and verbal communication skills.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Familiarity with website management and social media platforms.
  • Ability to multitask and prioritize tasks effectively.
  • Strong attention to detail and problem-solving skills.
  • Must obtain an insurance license within the first year of employment.

Additional Requirements:

  • Previous experience in a receptionist or administrative role, preferably within the insurance industry.
  • Familiarity with insurance terminology and processes is a plus.
  • This is an in-office only position.
